Custom software development, built around how you actually work.
Off-the-shelf tools force your business to bend. We build the system your operation already runs on — the spreadsheets, the WhatsApp groups, the manual approvals — and turn it into software you own outright.
Most businesses do not need more software. They need one system that replaces the four they are duct-taping together. That is the work we do: mapping the real process — including the exceptions nobody documented — and building software that fits it.
Qalmax scopes custom builds as fixed-price engagements. You get a written feature list, a written price, and a written delivery date before any code is written. If the scope changes mid-project, we re-quote in writing rather than quietly billing extra hours.
When custom software is the right call
Custom is not always the answer. We will tell you when an off-the-shelf tool would serve you better — we would rather lose the project than build you something you did not need. Custom development earns its cost when:
Your process is a competitive advantage and no SaaS product models it correctly.
You are paying per-seat licences on three tools that each do 40% of the job.
Your data lives in silos and reporting means somebody exporting CSVs every Monday.
Compliance, data residency, or client contracts require the system on your own infrastructure.
You have outgrown a no-code build and hit its performance or permission ceiling.
What a custom build includes
Process discovery — we sit with the people who do the work, not just the person signing off.
Data model and architecture designed for the next three years, not just launch week.
Role-based access so finance, ops, and field staff each see exactly what they should.
Admin panel your team can operate without calling a developer.
Integrations with the accounting, payment, messaging, or ERP systems you already pay for.
Reporting and exports built to the questions your management actually asks.
Audit trails — who changed what, when, and from where.
Full source code, documentation, and infrastructure handover on delivery day.
How the build runs
1
Process mapping
We document the current workflow end to end, including the manual workarounds. This usually surfaces two or three requirements nobody thought to mention.
2
Written scope and fixed quote
A feature-by-feature specification with a price and a delivery date. You approve it before we start.
3
Design and data model
Clickable screens plus the underlying schema. Unlimited revisions at this stage — changing a wireframe is cheap, changing a shipped database is not.
4
Build in visible increments
Working software on a staging URL you can open any day. Senior engineers on WhatsApp, not an account manager relaying messages.
5
Migration and parallel run
We move your existing data in and run the new system alongside the old one until your team trusts it.
6
Handover
Git repository, deployment documentation, admin training, and the credentials. Everything is yours.
Key facts
Engagement model
Fixed price, milestone-based — 50% to start, 50% on delivery
Quote turnaround
Written scope and price within 24 hours of your brief
Code ownership
100% yours, transferred on delivery, no licence or platform fee
It depends entirely on scope — a single-department internal tool and a multi-tenant operations platform are different projects. What we commit to is the process: send us your brief, and you get a fixed written price within 24 hours, with the feature list it covers. No hourly billing, no discovery invoice before you know the number.
Who owns the source code?
You do, 100%. On delivery day we transfer the Git repository, design files, deployment documentation, and infrastructure credentials. There is no licence, no platform fee, and no clause that ties you to us. Any developer can pick it up later.
Can you rebuild or take over an existing system?
Yes. We regularly take over builds that stalled with a previous team. We start with a paid code audit that tells you honestly whether the existing codebase is worth continuing or cheaper to replace — and we tell you even when the answer costs us work.
What happens if requirements change mid-build?
Small clarifications are absorbed. Genuine scope additions get a written change quote before we build them, so the price never moves without your approval. This is why the process-mapping stage matters — it catches most changes before they cost anything.
Will my team be able to run it without developers?
That is the goal. Every build includes an admin panel for the operations your team performs routinely — adding users, changing rates, editing content, pulling reports — plus a written handover session. You should only need a developer for genuinely new features.
Do you sign an NDA?
Yes, before you send anything sensitive. We also work under your MSA or procurement terms if your company requires them.
Smaller ways to start
You do not have to commit to a whole build.
Most people arrive somewhere between “just curious” and “ready to sign”.
These are the smaller, fixed-fee ways in — each one useful on its own, and each one credited or extended
into a bigger project only if you decide you want that.
Code & architecture audit
You have a codebase — inherited, stalled, or just worrying — and want an honest read before committing to anything.
Written report on architecture, security, data model and deployment
A prioritised list separating genuinely urgent from merely untidy
A straight answer on repair versus rebuild, even when rebuild pays us more
The report is yours whether or not you continue with us
Not sure which fits? Describe the problem and we will tell you
— including when the answer is that you do not need us yet.
The Qalmax Promise
Six things we put in writing.
Not values on a wall — contract terms. Ask any other supplier to match them line by line.
A price in 24 hours
Send a brief, get a fixed written price and a delivery date the next working day. Free, no obligation, and the scope document is yours to keep even if you go elsewhere.
The price does not move
Fixed, not an estimate. If scope changes we re-quote in writing and you approve before we build it. You will never open a surprise invoice.
Half on delivery
50% to start, 50% when it is live and you are satisfied. You never fund the whole project up front.
Unlimited design revisions
We do not write production code until you approve the screens. Changing your mind at that stage costs nothing.
You own everything
Full source code, design files and credentials on delivery. No licence, no platform fee, nothing that stops another developer taking over.
30 days of fixes included
Free bug fixing for a month after launch, then an optional retainer only if you want one.
A paragraph is enough to start. You get a scoping conversation and a
fixed written price with a delivery date within 24 hours —
free, and yours to keep whether or not you go ahead with us.
